Lead generation forms

With DojoExpert you can now create forms to collect leads on your website. You can create multiple forms with different fields, text, colors, and embed the form on your website so that your visitors can register. This great feature enables you to generate more leads and manage them efficiently. You can find leads forms if you select “leads” from “members menu”: To create a new form enter the title and click “add” button. To edit existing form click “edit”: For each form you can define: form text (text which appears on top of the form) form fields (can include custom fields that you create) form colors button text and colors your email if you want to receive a notification when new lead registers email template that is used to send an email to your leads when they register (it’s done automatically) default status and source in leads database The interface looks like this: On the end of the form you will have form link and embed code. You can use the form link if you want to send it to your potential leads via email, or you can use the embed code to embed the form on your website. Belt milestones

Milestones, steps, requirements, badges… it all means one thing: what are your students required to do to be eligible for a belt exam. In DojoExpert you can create such milestones for each belt and monitor your students on how close they are for next belt. You can mark which student achieved which milestone, and show that in student’s login app. A milestone can be anything, and you can have it as much as you need. Create milestones in your belt system by clicking the number in grid (initially zero): It will open a pop up where you can add milestones for selected belt. Just enter a descriptive name and click “Add”: After you define milestones, you can mark which student achieved which milestone. Go to “promotions”, “milestones” tab, select belt and member and hit “Load”: If a milestone is achieved enter the date when that was. To delete a milestone achievement just delete the date and click “save”. You can monitor the progress of your students in “next promotion” grid: You can also click on orange dots to update milestones for selected member. Milestones can also be updated in attendance list if you click the flag icon: Be aware that the flag icon will show only if you have set the correct art in groups setting (hold down CTRL key to select multiple arts): If you enabled “show next belt in student login” setting (find it in “settings” under “modules” tab) then your students can see their progress in student login app. Example: Milestones are just one part of belt requirements that you can set. Print belt certificates

You can create and print belt certificates directly from DojoExpert! We’ve prepared a few beautiful templates which you can edit and use, but you can also create your own design. Find the interface under “Achievements” menu. Here is how it works: After you enter promotion data for your members you can print certificates for all members on selected promotion date. You can select one of our predefined templates or you can create your own After you make changes in template text (if you want), click on “Merge and print” button to generate PDF file Print your certificates from PDF Here’s a screenshot of the interface and a few explanations:   Create your own certificate design If you select “new template” from template dropdown you can create your own certificate design. Notice the lines inside editor – that’s HTML table in which you add text, images and all other things which you need. The most important task is to add a background image that represents your design (which you have created in Photoshop or  downloaded from web :)). You do this by setting background image on HTML table – right click inside table and select “Table properties”: Then click on image icon to upload the image file and click “ok”: Note that the image will be stretched to table size. Use images of higher size (more then 1000px in width) for best results. If you need to position some items left or right on your certificate you can use another HTML table (add a table inside a table). Click “insert table” icon inside the editor. Also you can add other images like logos etc. You can insert “merge fields” by selecting “merge field” within editor. Merge fields are placeholders for data from database. Example: {fname} is a placeholder for first name. After you click “merge and print” these placeholders will be replaced from real value from database. This way you can create more then one certificate for all members who passed the belt exam and have them in one PDF file. Map your members

Now you can plot your members on a map and see where they are located! Your school is marked with a blue marker, active students with a green, inactive red, unsubscribed gray and instructors with a yellow marker. You can find this map in “reports” section under “members” menu. Here’s an example: All markers are clickable – it will show you member’s name and address with a link to his/her profile. Updating geolocations Map will show only members for which you have set the address and city in member details. If you have a lot of members, loading the map for the first time can take some time because the system needs to look for geolocation points (latitude and longitude) for all addresses you have in database. So, if this screen pops up, just follow the instructions and be patient while the system finds all points on the map (this is done only once, the first time you load the map): Resolving issues If some points on the map are not correct please edit the member’s address and city. Maybe some streets exist in more than one city and adding correct city, province or city block inside address fields can help to put the marker on the right spot. If you don’t see your school (blue marker) on the map then probably you did not set the address of the school inside “settings”/”school info” tab (or the address is invalid and can’t be found). The same goes for dojos – if you have more than one dojo, in order to show it on the map go to “settings”, “dojo” tab and set the address data. Credit card processing with Stripe

With DojoExpert you can now accept credit cards! We integrated with Stripe, one of most popular payment processors which operates in more then 25 countries worldwide. Sign up for Stripe account and you are ready to integrate with your DojoExpert account. Here we will guide you how to: setup Stripe pay invoices with credit cards (in DojoExpert or in student area) enable credit card payments in webshop charge your students automatically with Stripe subscriptions Stripe is not free, a transaction fee applies (by Stripe). But there is no extra cost when integrating with DojoExpert (we don’t collect any extra fees, the money goes directly to your Stripe account). Setup Stripe Stripe integration is part of our ULTIMATE plan. If your account is not in ULTIMATE plan you will need to upgrade (you can do this anytime and pay only price difference – go to “settings”, “account info” tab and click “upgrade” link). To connect your Stripe account with DojoExpert go to “Settings” in DojoExpert and click “Stripe” tab. Here you need to enter Stripe public and secret keys: You can find these keys inside your Stripe account under “API” menu: After you’ve added the keys you will get the “Webhook” URL which you need to paste inside “Webhook” tab in Stripe: Make sure that you select only “invoice.payment_succeeded” and “invoice.payment_failed” events in webhook settings. And you are done, you and your students can now use credit cards to make payments. Pay invoices with credit cards You can pay any invoice with a credit card. Just open the invoice and click “pay” button. You will notice new “pay with stripe” button: Click it and Stripe popup will appear in which you can enter credit card details: After clicking “pay” button money is taken from the credit card and transferred to your Stripe account. DojoExpert registers this payment by closing the invoice and adding revenue in your “Costs & revenues” inside DojoExpert.
